Privacy statement

Stichting Rotterdam Partners (hereinafter referred to as Rotterdam Partners) is Rotterdam's partner organisation that gives direction and implementation to the city's city marketing to attract international companies, conferences and visitors. Together with our partners, we are building a future-proof and resilient Rotterdam economy. In this context, we organise, support and coordinate various activities and campaigns.To this end, Rotterdam Partners collects personal data via its website(s), newsletters and other products and services. Personal data is data that tells us something about you or that we can link to yo, like your name or e-mail address, but also the IP address of your computer. It concerns all information that can be traced back to you directly or in combination with other data.
In this privacy statement, we explain how we handle your personal data. In addition, you will find more information about your rights and how you can exercise them. More specific information about which personal data we process and for what purpose we do this can be found further down in the appendix to this privacy statement.
We determine the purposes and means for which, and on the basis of, personal data is used in our business activities. We are therefore to be regarded as a controller within the meaning of the General Data Protection Regulation (GDPR).This privacy statement was drawn up in December 2024. Responsible
Rotterdam Partners, located at: Weena 727 (3013 AM) in Rotterdam, +31 10 790 01 40, Chamber of Commerce 24313403, VAT number NL8092.85.691B01, is the responsible party as the General Data Protection Regulation (GDPR).
Rotterdam Partners also operates under the location names Rotterdam Tourist Information and Rotterdam International Center. Rotterdam Partners is also responsible for these as defined by the GDPR.
Data Protection Officer
We have appointed an internal Data Protection Officer (DPO) who is involved in all matters related to protecting of personal data. The DPO is our internal supervisor and advisor for the protection of personal data. You can contact our DPO by sending an e-mail to privacy@rotterdampartners.nl.
Processing of personal data
We believe it is important to protect the personal data we process properly. We have therefore taken various organisational and technical measures to protect personal data against misuse, loss, unauthorised access and processing.
When processing personal data, we adhere to the principles of the GDPR for the processing of personal data. For example, we only process personal data if there is a legal basis for doing so (such as your consent or an agreement). We only process personal data if this is necessary and, above all, we do not process more data than is necessary.
Sharing of personal data
Sometimes, we work together with other parties to execute of our services. In certain cases, we share personal data with these organisations. When we exchange personal data with another organisation, we ensure that we make clear agreements with this other party that are in line with the laws and regulations. We think it is important that we handle personal data, correctly and also require this from other parties we work width.When we provide personal data to parties outside the European Economic Area (EEA), we ensure that we only do so to parties that adequately guarantee the protection of personal data. We adhere to the conditions laid down in the laws and regulations.
The specific information about processing includes whether we share your data with other parties and with which parties.
Exercising your rights
On the basis of the laws and regulations regarding the protection of personal data, you have been granted a number of rights. For example, you have the right to view the personal data that we process about you. You can also submit a request to amend, delete or restrict the use of your personal data to us.If we process your personal data based on of your consent, you have the right to withdraw your consent. In that case, we will have to stop processing your personal data. You can also to object to the processing of your personal data.
You can request to exercise any of your rights by sending an email to our Data Protection Officer, privacy@rotterdampartners.nl. After receiving your e-mail, we will send you a confirmation of receipt in which we will let you know, among other things, when we will inform you of the action that will be taken on your request. This is not automatic, it can take some time.

Appendix: Processing of personal data
This appendix contains specific information about the processing of personal data in relation to the services and products of Rotterdam Partners.1. Corporate newsletter
Rotterdam Partners periodically sends a newsletter to its network to keep up to date with developments in Rotterdam.
Purpose
The purpose of the processing of personal data is to send the newsletter to the network of Rotterdam Partners and other interested parties.
Basis
We process the personal data based on an agreement (partner network Connect to Rotterdam) or consent (other interested parties).

We process the following personal data to send the newsletter:

We work together with various companies to send the newsletter:

The personal data will not be processed outside the European Economic Area (EEA).
Retention periods
We do not store your personal data longer than necessary or longer than stipulated in the Public Records Act. This means we will delete the personal data collected for the newsletter after your cancellation. You can unsubscribe from this in every newsletter.
2. Rotterdam International Center
At the Rotterdam International Center you can make an appointment to register with the Municipality of Rotterdam to receive a BSN number. You can also make an appointment with the IND to get your residence permit and/or provide your biometric data. This service is called One-Stop-Shop.
Purpose
The purpose of the processing of personal data is to make an appointment, to provide a BSN number and/or a residence permit. The personal data can also be used to invite you to events specifically for internationals.

We process the personal data based on consent.

3. Request for proposals
If you want to organise a conference or event in Rotterdam, you can fill in a 'Request for Proposal' form. The colleagues at Rotterdam Partners will then contact you to discuss a proposal. We will also process your personal data in our CRM package.
Purpose
The purpose of the processing of personal data is to provide an RFP for the organisation of a conference or event in Rotterdam.

When you respond to a job vacancy on our career website, we collect personal data to process your application correctly.
Purpose
The purpose of the processing of personal data is:

We store your personal data for a maximum of one month after you have received a response from us. If we want to include your data in our talent pool, we will ask for separate permission for this. If you are hired, we will retain your personal data in accordance with the statutory retention periods, at most for up to 7 years after leaving employment.
